Terms & Conditions
By registering or enrolling in our classes, workshops, or other programs, you agree to our terms and policies, whether or not a signature is provided at the time of enrollment or payment.
1. Acceptance of Policies
By registering, making payment, or using our website, you agree to all current BlackBox Music & Arts (“BlackBox”) policies. Terms may be updated at any time without prior notice and replace all verbal agreements or errors/omissions. Payment implies acceptance, with or without a signature.
2. Annual Registration
A non-refundable annual registration fee covers one household and renews on the anniversary of your initial registration. Payment must be received by the due date to secure your student’s place in class.
3. Tuition & Payments
Tuition is due on the 1st of each month and must be paid no later than the first lesson of the month to retain your spot. Payments are processed automatically by credit/debit card or ACH transfer until canceled through your parent portal.
AutoPay: Simplifies billing, avoids late fees, and can be enabled or disabled anytime.
Fees & Supplies: Tuition covers instruction and administration only. Books, recitals, performances, and other materials are billed separately.
4. Accepted Payments
We accept debit/credit cards and ACH transfers. Gift Cards are redeemable only at BlackBox, treated as cash, and not exchangeable for cash or credit. Inactive cards (18+ months) incur a $2 monthly service fee.
5. Discounts
The first enrolled student pays full tuition. Each additional student in the same household receives a 10% discount on equal or lesser tuition.
6. No Refunds
Except for classes canceled by BlackBox, all payments are final. Unused balances remain as account credit. No refunds for absences, withdrawals, schedule changes, or misinterpretation of policies. Credits may be transferred to other programs when approved.
7. Tuition
Flat Rate: 48 lessons per year averaged into equal monthly payments. Some months will contain 3, 4, or 5 lessons. Holidays and teacher vacations are pre-calculated and not prorated.
8. Late Payments & Fees
Payments received after the first lesson of the month or after the 5th day will incur a $15 late fee. Late or missed payments may result in loss of your reserved time slot and require re-enrollment with new registration and fees.
9. Withdrawal or Discontinuation
To discontinue lessons, notify BlackBox in writing by email or text at least 14 days before the next billing cycle. Ignoring invoices or failing to attend without notice will result in late fees and account deactivation. Unused lessons or credits are forfeited.
10. Class Changes & Cancellations
BlackBox reserves the right to cancel, combine, or reschedule classes or instructors as needed. If a class is canceled by BlackBox, a full refund or credit will be issued for any unused portion.
11. Group Lessons
Group lessons require at least two enrolled students. If only one student attends, the class will temporarily convert to a shorter private session (no price change). Classes may be discontinued if low enrollment persists, with remaining paid lessons converted to private sessions.
12. Attendance & Makeups
Tardies: Late arrivals receive the remaining time only.
Absences: 24-hour notice required to qualify for a makeup. No-shows or same-day cancellations are not eligible.
Makeups: Offered at instructor discretion as group, recorded, or in-person sessions. Makeup credits expire after 45 days.
Weather: Makeups provided only if BlackBox cancels due to unsafe conditions.
13. Conduct & Behavior
Respectful conduct is required at all times. No food, gum, running, shouting, bad or foul language, or disruptive behavior is allowed in the studio. Only enrolled students and instructors may enter lesson rooms. BlackBox reserves the right to dismiss any student for disruptive behavior, disrespect, unpaid tuition, or parental noncompliance—without refund.
14. Lesson Room Access
Parents are welcome to quietly step in and observe their child’s lesson at any time. Siblings and friends are not permitted in lesson or practice rooms to maintain focus, safety, and minimal distraction.
15. Drop-Off & Pick-Up
Students may arrive up to 10 minutes early. Parents must pick up promptly after class; late pickups incur a $1 per minute fee after a 10-minute grace period. Repeat violations may result in a tuition increase to cover supervision time. BlackBox staff do not provide childcare outside lesson hours.
16. Pausing Lessons
Students planning extended absences (over two lessons) must notify the office 14 days before the next billing cycle. To hold a reserved time slot during a break, tuition must continue to be paid monthly.
17. Instructor & Schedule Changes
Instructors or class times may change due to scheduling needs or emergencies. Requests for new time slots depend on availability and do not warrant refunds.
18. Instructor Solicitation
Clients agree not to solicit any BlackBox instructor to teach outside of the studio. Violation may result in dismissal and reimbursement to BlackBox for lost revenue.
19. Media Release
Photos and videos of students and/or student work may be used in BlackBox promotional materials, newsletters, and social media without compensation. Student names will not be published without specific parental consent.
20. Liability Waiver
By enrolling, parents/guardians and students assume all risks associated with participation. BlackBox Music & Arts, its staff, and affiliates are not responsible for injuries, property damage, or loss while on the premises at 1401 Dezarae #6, San Antonio, TX 78253, or during related activities. Parents remain responsible for supervising their children. Pool and upstairs areas are off-limits.
